Destruction of Records Notice

  • Destruction of Information:

The Phenix City Schools will retain a copy of the education records containing personally identifiable information in a secure location for five (5) years after the termination of the special education program for which they were used. The information must be destroyed at the request of the parents. However, a permanent education record that contains the child's name, address, telephone number, his/her grades, record of attendance for special education services, classes attended, grade level completed, and year completed will be maintained without time limitation.

At the end of the five-year retention period, the Phenix City Public Schools will inform the parents via generalized newspaper announcements that maintain confidentiality when personally identifiable information collected, maintained, or used is no longer needed.

Information must be destroyed so confidentiality is maintained, generally through shredding.
